Required Submission Files and Metadata

Content

To support editorial assessment, peer review, accurate author identification, and complete metadata publication, each submission must include the applicable files and information.

Main Files

1. Cover Letter

The cover letter must be uploaded as a separate file and addressed to the Editor-in-Chief of Anales de la Facultad de Ciencias Médicas. No specific institutional format is required, but it must include at least:

  • Full manuscript title and manuscript category.
  • A brief description of its contribution, relevance, and suitability for the journal’s scope.
  • A statement confirming that the manuscript is original, has not been previously published, and is not simultaneously under consideration by another journal.
  • Confirmation that all authors are aware of and approve the manuscript content, authorship order, and submission.
  • Disclosure of conflicts of interest and funding sources, or an explicit statement that none exist.
  • Information on ethical approval, informed consent, and study registration, when applicable.
  • Disclosure of artificial-intelligence use, when applicable.
  • Full name, affiliation, email address, and ORCID of the corresponding author.

The information provided in the cover letter must be consistent with the data entered in OJS, the title page, and the manuscript.

The journal may provide an optional template. Use of the template is not mandatory provided that all required information is included.

2. Title Page

The title page must be submitted as a separate file and include:

  • Full manuscript title in Spanish and English.
  • Short title, when applicable.
  • Full name of each author.
  • Complete institutional affiliation of each author: unit or department, institution, city, and country.
  • Email address and ORCID of each author, when available.
  • Identification and contact details of the corresponding author.
  • Author contributions according to the CRediT taxonomy.
  • Funding sources and grant number, when applicable.
  • Conflict-of-interest statement.
  • Acknowledgements, when applicable.
  • Data-availability statement, when applicable.
  • Artificial-intelligence use statement, when applicable.

The author order must match the information entered in OJS.

3. Anonymized Manuscript

The manuscript submitted for peer review must include:

  • Title in Spanish and English.
  • Abstract and keywords in both languages.
  • Full text organized according to the manuscript category.
  • References.
  • Tables, legends, and other elements required for evaluation.

The file must not include author names, affiliations, acknowledgements, contact details, or other references that could identify the authors or their institutions.

Authors must also remove authorship information stored in the file properties and internal metadata.

Additional Files

When applicable, authors must submit:

  • Figures, photographs, or images as separate files and with sufficient quality for publication.
  • Ethics committee approval or exemption documentation.
  • Clinical-trial registration information or certificate.
  • Consent for publication of case reports, images, or potentially identifiable information.
  • Permission to reproduce copyrighted third-party material.
  • Reporting-guideline checklists, when requested.
  • Protocols, appendices, instruments, supplementary files, datasets, or code that the authors choose to share.

Ethical, clinical, or confidential documentation must be identified as not intended for publication. Access will be restricted to authorized editorial staff.

The journal may request original files, supporting documentation, or additional information when necessary to verify the integrity of the manuscript and compliance with journal requirements.

OJS Metadata

Authors must carefully complete the following information in the system:

  • Title, abstract, and keywords in Spanish and English.
  • Full name of all authors.
  • Email address and ORCID.
  • Complete institutional affiliation: unit, institution, city, and country.
  • Author order.
  • Identification of the corresponding author.
  • Author contributions.
  • Funding sources and grant number, when applicable.
  • Conflicts of interest.
  • Data-availability statement, when applicable.

The information entered in OJS must be consistent with the cover letter and title page.

Submissions with incomplete files, metadata inconsistencies, or anonymization problems may be returned to the authors for correction before editorial assessment or peer review begins.
